Privacy Policy

Verbata is not open yet. Right now the only thing this website does is let you ask to be told when early access opens. This page explains exactly what happens to the email address you give us.

The short version. We collect your email address so we can tell you when Verbata launches. We store it encrypted, we never sell or share it, and you can have it deleted at any time by emailing privacy@verbata.com.

Who we are

This site is operated by Verbata Pty Ltd, based in Brisbane, Australia. Our ABN is 92 696 337 836. For anything in this policy, contact us at privacy@verbata.com. We are the data controller for the information described here.

What this policy covers

This policy covers the early-access waitlist on verbata.com only. When the Verbata product launches we will publish separate terms and a product privacy policy for account holders and customers.

What we collect

  • The email address you enter in the form.
  • A short source label recording which page the request came from (for example, the coming-soon page).
  • The date and time you submitted it.

To protect the form from spam and abuse, we also briefly process the network (IP) address your request arrives from, in order to apply rate limits. We do not use it to track, profile, or identify you, and we do not build any advertising profile.

This website uses no cookies, no analytics, and no third-party trackers. We do not ask for your name, and you do not create an account.

Why we collect it, and our legal basis

We use your email address for one purpose: to contact you about Verbata early access and launch. We will not use it for unrelated marketing.

For visitors in the EU and UK, our legal basis under the GDPR / UK GDPR is your consent, which you give by submitting the form. You can withdraw that consent at any time (see Your choices and rights below). For Australian visitors, we handle your information in line with the Australian Privacy Principles.

How we store and protect it

  • Each record is encrypted the moment it is received. Our public-facing server stores only encrypted records; your address exists in plaintext only momentarily, in memory, while your request is processed.
  • The key needed to decrypt it is held off the public server, on a separate controlled system.
  • We do not keep plaintext email addresses in our application logs or server logs.
  • Only authorised Verbata personnel can read the list, and only through a controlled internal process.

Who can access it

We do not sell, rent, or trade your email address, and we do not pass it to advertising networks, data brokers, or third-party marketing or form services. The only parties that may handle it are the infrastructure providers strictly necessary to run this site, chiefly our content-delivery and security network (Cloudflare), which routes requests to us, and an email-delivery provider if and when we contact you. They process it only on our instructions.

The narrow exception is if we are legally required to disclose information by a valid legal process, which we would resist where appropriate.

Where it is stored

Your information is stored on our own infrastructure in Australia. If you are in the EU or UK, your email is transferred to and stored in Australia; we protect that transfer with appropriate safeguards (such as standard contractual clauses) consistent with this policy.

How long we keep it

We keep your email address until Verbata launches and we have contacted you, or until you ask us to remove it, and in any case no longer than 24 months, whichever comes first. If you unsubscribe or request deletion, we exclude your address from our records promptly and purge it at our next rotation.

Your choices and rights

You can ask us at any time to:

  • Access the email address we hold for you;
  • Correct it if it is wrong;
  • Delete it (erasure), and/or withdraw your consent / unsubscribe;
  • Object to or restrict how we use it.

Just email privacy@verbata.com. We will action your request and respond within 30 days, free of charge. Withdrawing consent does not affect anything we did before you withdrew it.

Complaints

If you are unhappy with how we have handled your information, please contact us first at privacy@verbata.com so we can put it right. You also have the right to complain to a regulator: in Australia, the Office of the Australian Information Commissioner (OAIC); in the UK, the Information Commissioner's Office (ICO); or your local data protection authority in the EU.

Changes to this policy

If we change this policy we will update the date at the top of this page. Because the waitlist only collects an email address for a single purpose, we do not expect material changes before launch.
